1. The patient fills out an online booking form, the link to which is on the Cimas website. On the booking form, the patient chooses the type of consultation, such as: Doctor’s Consultation, Dental Consultation, or one of several iGo consultation options. They then choose an available time and doctor – availability is set up in MedAx doctor availability – and finally fill in personal details: Name, Email, Address, Phone number, and additional notes.
2. The patient receives a confirmation email containing a link to an e-consent form, like the one they would fill in at the doctor’s office. It includes medical fund membership information that is used to validate membership.
3. When the e-consent form is submitted, the system validates that the patient is a Cimas member.
3.1. If the patient is not a Cimas member, the process ends, and the booking is cancelled.
3.2. If the patient is a Cimas member, a check is done to see if they have benefit remaining.
3.2.1. If the patient is out of benefit, the process ends, and the booking is cancelled.
3.2.2. If the patient has benefit remaining, there is a benefit booking created against the patient for the appointment and the process continues.
4. Once the patient’s membership is validated, an appointment is booked against the selected doctor, a confirmation email is sent to the patient with the option to add the appointment to their calendar, and a notification is sent to the doctor for the appointment. Both patient and doctor also get a unique ID for the patient to validate the identity of the patient.
5. At the appointed date and time, the patient and doctor join a Microsoft Teams meeting.
6. During the consultation, the doctor records relevant info such as patient details, vital signs (as far as possible), tariff codes, diagnosis, prescription, etc. The doctor is also able to issue referral letters and sick notes as needed.
7. At the conclusion of the consultation, any prescriptions resulting from the consultation are sent to the patient via email.
8. A claim is submitted for adjudication and payment, linked to the benefit booking.
